Job Description:

The Executive Secretary to the MD. Should be able to provide high-level administrative support by coordinating with heads of departments, handle information requests, and perform administrative clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

A very important and essential aspect of the job is m
anaging travel reservations / arrangements and schedules of the senior management - Coordinate travel arrangements; prepare itineraries; prepare, compile and maintain travel vouchers and records.
 

Job Requirements:

  • Greet and receive visitors.
  • Provide administrative and clerical support to departments or individuals.
  • Schedule meetings and arrange conference rooms.
  • Alert the HODs about cancelations or new meetings.
  • Manage travel reservations / arrangements and schedules.
  • Handle information requests.
  • Prepare correspondence.
  • Arrange for outgoing mail and packages to be picked up.
  • Prepare statistical reports.
  • Manage spreadsheets.
  • Prepare confidential and sensitive documents.
  • Coordinate office management activities.
  • Determine matters of top priority and handle accordingly.
  • Prepare agenda for meetings.
  • Take dictation.
  • Maintain office procedures.
  • Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.
  • Operate office equipment, such as photocopy machine and scanner.
  • Relay directives, instructions and assignment to executives.
  • Receive and relay telephone messages.
  • Direct the general public calls to the appropriate staff member.
  • Maintain hard copy and electronic filing systems
